Tour bookings are done through the calendly.com platform that syncs with the [email protected] Google calendar. That calendar is shared with staff, other need-to-know members, and volunteers.
Folks with direct access to the calendar can see details about bookings on calendar events including:
- Contact information for the person who booked
- What their key interests are
- If they are bringing somebody from their bubble with them and that person’s name
Technical information about booking
- Rachel (crafty) manages available slots for tours including entering them into Calendly based on people schedules. This includes both the Ace Associate and Monster Corps Members and other volunteers.
- Folks booking a tour have a few required questions such as their interests and who they might be bringing with them when they book
- Folks can schedule a tour up to 21 days in advance
- The tour duration is set at 45 min. though tours usually take 30 min.
- There is a 10 min. buffer before events and a 5 min. buffer after events.
