How to Cancel Events (for Staff)

  1. Capture Attendee List – So you can give refunds and send notices
    1. Send notice and offer either a refund or Ace Credit. If the notice is very short term, process the refund and send a Ace Gift certificate with soft human language. Be authentic if it was a glitch, human mistake or other w/o throwing anybody under the bus. Example of own human mistake: “We made a mistake! We are so sorry. With the influx of cool new classes, we transposed a date into the calendar wrong and your events isn’t happening on that date. We are always trying our best, but you know how herding cats and calendars can be. The class is now on X day. We can offer you a refund or a spot in the new class. Or we can offer you an Ace Credit you can use on any future class that catches your eye… what would you like us to do? Please let us know by x so you spot you want. “
  2. Go to the Event in WordPress and Delete the event by throwing it in the trash
  3. Verify the tickets cannot be seen on the front end. Go to Products>All Products>Search and find you ticket>Choose “view” from quick menu>Should say oops!
  4. Go to the Ace Planning Calendar in Google and edit the event so the title starts with “Canceled” and remove the RSVP link from the body of event
  5. Remove any “Quiet Dibs in play for this event” Sometime the instructor does quite dibs in which case they have to do it. Some times staff does it in which case the staff member does it – remember ot check for scheduled posts. Be careful that the quiet dibs is for only your event and not something concurrent
