Quarterly Membership Meetings

Not all weekly meetings are created the same. Four times a year we meet to vote in full members, and annually to elect directors to the board, the bylaws refer to these as Regular Meetings.

 

Annual Board Elections

The members shall meet annually on the third Thursday of June in each year, at 7:30 PM, for the purpose of electing directors and transacting other business as may come before the meeting.

Quarterly Membership Elections

Other regular meetings of the members shall be held on the first Thursday of September, December, March, and June, at 7:30 PM.

At each of the Regular Meetings (prior to other voting, so that a newly-voted-in member may also cast a ballot in a board election), members that have joined no fewer than 30 days prior have the opportunity to be voted in to Full Member status.

At least a week prior to the vote, the Secretary or other officer will provide a list of all eligible [[Becoming_a_Member#Provisional_Membership|Provisional members]] via email. Any Provisional member who wishes to be included in the vote may place their name on the list at the beginning of the Regular Meeting, or, if unable to attend, they may request to be voted on in absentia and nominate a proxy to speak on their behalf. There is no obligation for a Provisional member to seek Full Membership status.

Voting is a simple majority of the Full members, including proxies, voting. Members not reaching a majority of the votes retain provisional status and are eligible to be voted on again at the next Regular Meeting.

Quorum and Proxy

A quorum shall consist of twenty-five percent (25%) of the voting members of the corporation.

In order for voting to take place a minimum number of current Full Members must be present, either in person or via proxy.

If you are unable to attend a meeting but wish to cast a vote, you may do so by announcing your intent to the Secretary or other officer. You may name any Full Member to act on your behalf. The vote cast on your behalf by the proxy is ultimately left to the proxy to choose, so it is important to name someone who will respect your choice.
