Member Elections

Provisional members must be voted quarterly into full membership.

Week 1: Prepare Campaign

  • Set up google doc to collect nominations
  • Prepare emails (mail chimp) and slack announcements

Week 2: Open Nominations

  • Send out emails and collect nominations
  • Set up conference call

Week 4: Close Nominations & Vote

  • Close Nominations
  • Send out conference call # and List of Nominees
  • Hold call and vote in peeps
  • Send email to new members
  • Contact any folks who didn’t get voted in
  • Update the member’s user accounts to reflect new status

Board Member Elections

Week 1 – Open Nominations

  • Make a wiki page, like Jun 2015 Board Election (use the appropriate date) to track progress and nominees
  • Announce in Mailchimp
  • Announce on Slack
  • Direct Recruit Nominees

Week 2

  • Continue Recruitment

Week 3

  • Close Nominations
  • Announce Candidates
  • Send Voting Link
  • Ten days prior to the election date, close nominations (update the wiki page that nominations are closed) and create a poll at http://civs.cs.cornell.edu/ adding all the current voting members. Email the list and the voting members in case anyone got missed or thinks they got missed, with time to sort out any problems.

Week 4

  • Remind people to vote
  • Close Polls (if quorum reached)
  • Direct Email winners
  • Update Web Page
  • Send Announcement

Old version of process

As of 2014, the process for running a board of directors election is as follows:

  • Decide on the date.
  • According to the ByLaws, directors are to be elected at general member meetings to be held on the third Thursday of June. We also have a director election in December, as our director terms are staggered. Occasionally these days aren’t feasible and another must be chosen.
  • Make a wiki page, like Jun 2015 Board Election (use the appropriate date) to track progress and nominees
  • email the mailing list and the full member list to solicit director nominees.
  • get the secretary to clean up the member rolls to remove anyone whose dues are far enough behind, or who have said they’re quitting, by ten days prior to the election date
  • ten days prior to the election date, close nominations (update the wiki page that nominations are closed) and create a poll at http://civs.cs.cornell.edu/ adding all the current voting members. Email the list and the voting members in case anyone got missed or thinks they got missed, with time to sort out any problems.
  • on the election date at 7:30, close the poll and finalize it. Email everyone with the results. Update the election wiki page and the Board of Directors page.
