How to process issues

No community is perfect, not even AMT’s very awesome community. The following information has been created for the leadership team to guide them in the steps to be taken when things happen.

How things are reported

Incidents are recognized most commonly in two ways:

  • A leader doing basic moderation and community care identifies problematic behavior
  • A member mentions something

When a leader observes something problematic they log it in the incident tracker.

Members tend to report directly to leaders or the user groups on Slack. They have access to the incident tracker as well. If somebody on the leadership team is reported to directly they log it in the tracker and take the additional steps as is needed.

Observations by leadership

In the course of their duties leaders may observe issues and incidents and use the incident tracker to keep records.  Depending on the situation observed the leader may just note it, may issue a Warning, Yellow Card or Red Card.

What to do when a member files a complaint against another member

What needs to be done depends on the nature of the complaint and the stated request of the reporter. Reporters can request to stay informed of the outcomes and decision around a reported incident. If the complaint involves the member feeling unsafe, disrespected or any form of harassment the following steps should be taken.

  • Leaders should gather all possible information including security footage and witness accounts if available.
  • The member against whom the complaint was made is issued a Yellow Card in writing.
  • Their current months’ dues are refunded.
  • They are put on blocked status in the membership system
  • They are blocked on slack
  • If requested a peer review panel put together
  • One the peer review determines the outcome, the sanctioned member is informed of the outcome.
  • The steps that officers take after that are determined by that outcome.
  • Once the review is conducted the member who filed the complaint if requested is informed of the outcome.

What to do when a member reports witnessing something

What needs to be done depends on the nature of the complaint and the stated request of the reporter. Reporters can request to stay informed of the outcomes and decision around a reported incident.

  • Leaders should gather all possible information including security footage and witness accounts if available.
  • Once all the basic information is gathered one or more officers determines if a Warning, Yellow Card, or Red Card needs to be issued.

To issue a Warning

Inform the relevant member or members in writing that the behavior is not okay, and we don’t do that here. Included might be why the issue is problematic. Make sure the warning includes informing them that continuing the behavior will result in the loss of membership privileges. The warning may also include examples of a desired alternate behavior.

To issue a Yellow Card

  • The member being issued a Yellow Card is done so in writing.
  • Their current months’ dues are refunded.
  • They are put on blocked status in the membership system
  • They are blocked on slack
  • If requested a peer review panel put together
  • One the peer review determines the outcome, the sanctioned member is informed of the outcome.
  • The steps that officers take after that are determined by that outcome.

To issue a Red Card

  • The member being issued a Yellow Card is done so in writing.
  • Their current months’ dues are refunded.
  • They are put on blocked status in the membership system
  • They are blocked in the AMT Slack Workspace
  • A full member can request a review by the Board of Directors
